As a Fulfilment Coordinator at Prolojik, your primary responsibility will be to manage customer orders efficiently and accurately. This role is central to maintaining the high standards our clients expect.
Here’s what your day-to-day tasks will look like:
Customer Interaction and Communication
Your role involves daily interaction with our valued customers, discussing project requirements, providing updates on equipment, and scheduling deliveries. You will be the friendly voice answering emails and phone calls, ensuring all customer queries are addressed promptly and professionally.
Sales Order Processing and Data Management
You will be responsible for processing customer sales orders from our EMS system onto Sage. Accuracy is key, as you verify addresses, order details, and project information, ensuring everything is correctly entered and tracked.
Picking Tickets and Dispatch Scheduling
Generating daily and weekly picking tickets will be part of your routine. You will allocate stock, prepare tickets for our Production Supervisor, and coordinate with the Fulfilment Manager to plan equipment dispatches based on stock availability and project timelines.
Invoice and Return Merchandise Authorisation (RMA) Processing
Ensuring invoices match delivery records is crucial. You will cross-check invoices against goods delivery notes and add them to Sage. Additionally, you’ll handle RMAs, raise quotes for replacements, coordinate with customers, and manage the fulfilment of replacement orders.
Key Skills and Attributes
To excel in this role, you need excellent verbal and written communication skills, strong attention to detail, and superb organisational abilities. You should be able to manage multiple tasks and deadlines, troubleshoot issues efficiently, and work collaboratively with various departments. As Fulfilment Coordinator, you will report to our Fulfilment Manager, Scott Waite. A positive attitude and a proactive approach to customer service are essential.
